Pay range: $24.00 - $30.00 an hour

About the Job

This is an In-Office, 5days a week, position.

This hybrid role plays a critical part in both front office operations and post-closing support. You’ll be the first point of contact for visitors and callers, help keep our office running smoothly, and also assist with processing and reviewing loan documentation after loan closing. Strong communication skills, attention to detail, and a willingness to jump in wherever needed are key to success. This role is in office 5 days a week.

Responsibilities:

Post Closing Support

  • Receive and log original loan closing packages and notes from title companies.

  • Perform quality control reviews of closing packages to ensure accuracy and completeness.

  • Scan, file, and maintain loan documents; prepare shipments to warehouse banks.

  • Track and follow up on missing or corrected documents with title companies and internal partners.

  • Review and track trailing docs such as final title policies, settlement statements, deeds, and recordings.

  • Register and transfer loans in MERS (Mortgage Electronic Registration System).

Office & Administrative Support

  • Greet clients and answer/transfer phone calls as our front desk ambassador.

  • Manage general company inboxes, ensuring messages are routed to the right departments.

  • Sort, scan, and distribute incoming mail; manage UPS/FedEx deliveries and schedule couriers.

  • Order, stock, and organize office and breakroom supplies.

  • Keep conference rooms and common areas tidy and ready for use.

Skills & Attributes

  • 1–3 years of office administration, reception, or mortgage/financial services experience preferred.

  • Strong customer service skills with a friendly, professional demeanor.

  • Exceptional attention to detail and accuracy.

  • Ability to balance multiple priorities in a fast-paced environment.

  • Proficient in Microsoft Office (Word, Excel, Outlook).

  • Excellent verbal and written communication skills.

  • Self-starter with a team-oriented mindset.

  • Reliable, punctual, and adaptable to shifting needs.

  • Willingness to become a public notary (company will support licensing).
